
Pre-Primary Schools
It is that time of the year and you have promised the parents of the school to have photos taken of their child/ren before they graduate to the next year! This page should give you enough information on how I go about a photography session with pre-schoolers.
School photos in a pre-primary school can take place in different ways depending on the size of the school, the age of the children, and the number of children.
Shoots can be held in the classroom or out in the playground or both.
A small school of 20 children can be completed in a few hours and can manage to take both indoor and outdoor photos. With larger pre-schools it can get a bit difficult to accomplish both. Time is a factor to both the school and the photographer. The Photographer will do a site check with you to determine what will work best.
Booking the Photographer
The end of the year is a mad rush with the schools. It is therefore advisable to schedule your school’s photo day as early as is possible towards the end of the 3rd term and beginning of the 4th term, depending on your school calendar. This will ensure that editing and orders can be received by the parents before the end of the year.
School Visit
When you enquire, I will schedule an appointment to visit your school. During my visit, we discuss your requirements, we confirm a date for the photoshoot and choose a suitable room or outdoor location.
Classroom Photos:

Preparation before the day:

- Please notify the parents of the booked day well in advance and set a reminder for the day before the shoot.

- On the agreed day, the Photographer will arrive 60 minutes earlier to set up a studio and test. If it is an outdoor shoot, then the photographer will look for shady places on the playground that are suitable for the shoot. Usually on playground equipment or under a shady tree. This will be as per agreed from our earlier consultation. A Backdrop can also be organized for a more formal posed setup, with lighting, if needed.

- The Photographer must receive separate class lists of children in alphabetical order, with parents names, email address and telephone number please, at least 5 working days before the date of the shoot from the school.
- The Photographer uses an online platform for parents to choose and order photos. For this reason, the school needs to inform the Photographer if they have includeda Photographer in their POPIA clause. i.e. allowing the Photographer to upload and share photos of their child with other parents in the same class, on the internet. If the school does not have this covered then the Photographer will need to be instructed to issue a letter that needs to be signed by each parent and returned to the Photographer prior to the date of the shoot.

Picture Taking Procedure

- The Class teacher must ensure that face and hands are cleaned before sending a child to the Photographer. Please have wet wipes handy.

- Photos are taken class by class. The class should be assembled in an area near the Photography booth/setup.

- The Class teacher of the register class must be present with the class.

- The Class teacher will send each child one at a time to the Photographer for photos. On completion of the photo, the teacher ticks off the child as done.
- The teacher of each class gets photographed at the end of his/her class.

Notes:
Having teachers present when the photographs are taken helps a lot with discipline and keeping the order. The teacher can be photographed at the end of each class. They will also then be on the grouped class photograph, if necessary.
Playground/Outdoor Photos:
The outdoor shoot is a fun way to photograph children and although children are encouraged to pose in certain ways the atmosphere leans toward getting more candid photography. Children are led to the playground one class at a time. Teacher sends one child at a time to the designated spot where photographer will take photos of each child.

Siblings:
Where there are siblings in the school, please notify me so that I can arrange to schedule time to have the siblings photographed together.
Online Ordering of Photos
Each photo is lightly edited and uploaded to a website hosted by Photoset.co.za.
Photoset is a secure online platform that takes all the admin away from the school. Student and Parent Data is captured to this site after which parents log in with a unique link and password to view, download and/or order photo prints and products. Photo packages can be delivered to the school or to the parent.
Delivery is made 14 working days after the closing date.
Instead of forcing parents to buy a specific set of photos, I allow parents to choose from a variety of options on how they would like to receive their photos according to their personal budget.
